Manage Analytics permissions and user roles

Access to Analytics is managed through a combination of Paytronix platform settings and user-level permissions. This article explains how access works, what you can control, and what Paytronix manages on your behalf.

How access works

Access to Analytics is controlled at two levels:

Level

What it controls

Feature access

Whether Analytics is enabled for your organization. Managed by Paytronix.

User permissions

Which users in your organization can see the Analytics tab and which dashboards they can access.

📌 Note: You do not have access to the Analytics backend configuration. All permission changes are made through your standard Paytronix admin interface.

User-level permissions

Who sees the Analytics tab

Access to the Analytics tab is controlled by user permissions in the Paytronix admin panel. If a user does not have the Analytics permission enabled, the Analytics tab will not appear for them.

To grant or remove access:

  1. Go to the user's profile in the Paytronix admin panel.

  2. Enable or disable the Analytics permission as needed.

What dashboards a user can see

Once a user has access to the Analytics tab, the specific dashboards they see are determined by the products and subscriptions associated with their merchant account. Dashboard access is automatically assigned based on your configuration — no additional steps are required.

For example:

  • A merchant with Online Ordering enabled will see the Online Ordering dashboard folder.

  • A merchant without C-Store will not see C-Store dashboards.

  • All merchants with Analytics access see the Standard Dashboards folder by default.

Store-level data access

Each user can only view data for the stores they are authorized to see. This is enforced automatically — a user cannot see data from stores outside their assigned list.

📌 Note: Store permissions are passed automatically from the Paytronix platform to Analytics. You do not need to configure this separately.

User roles

All users start with the Viewer role, which allows them to view and interact with dashboards but not create or modify them.

Role

Capabilities

Viewer (default)

View dashboards, filter data, export results, schedule reports, and favorite dashboards.

Restricted Querier

Everything in Viewer, plus the ability to create and save custom dashboards.

Restricted Querier access is available for users who had analyzer-level access in the prior platform. If you believe a user should have this elevated access, contact Paytronix Support.

User lifecycle

Adding a new user

When a new user is created in Paytronix and granted Analytics access, their account is created automatically the first time they go to the Analytics tab. No additional setup is required.

Removing a user

When a user is deactivated or their Analytics permission is removed in Paytronix, they immediately lose access to Analytics. Their data and any dashboards they created remain intact and accessible to admins.
