Core Exports Overview

Learn how Core Exports work, what data is included in each daily file delivery, and how to get set up.

Overview

Core Exports are a set of daily data files designed to make it easy to import your Paytronix loyalty and transaction data into your own data warehouse or reporting systems. Files are delivered to a secure SFTP site each morning and contain the previous day's activity.

What's Included

Core Exports cover three main categories of data:

  • Transactions — all transaction activity from the previous day

  • Account changes — updates to guest accounts and wallets

  • Registrations — new guest registrations

Each daily delivery consists of 6 zipped folders (containing your program data) and 2 plain text files that mark the start and end of the transfer — a signal your team can use to trigger your import process.

Note: Core Exports do not include campaign data, Order & Delivery data, or check-level detail data.

Two unzipped text files accompany the above: a start file and an end file. Your import process should wait for the end file before beginning to import data.

Delivery Details

  • Files are dropped to the Paytronix SFTP site in a dedicated directory

  • Files are available for 14 days after upload, then deleted as a privacy measure — please retrieve and process files promptly

  • Your import process should run at least 15 minutes after your configured business day offset

  • Files are available by default in CSV format, with filenames in YYYYMMDD_filetype format (customizable — see below)

Customization Options

Core Exports can be tailored to fit your team's workflow. The following can be configured on request:

  • Filename convention (YYYYMMDD_filetype or filetype_YYYYMMDD)

  • Column delimiter (comma or TAB)

  • File extension (.csv or .txt)

  • Quotes around character data

  • Exclusion of specific columns (e.g., columns containing PII)

  • Custom column names and custom column ordering

  • Delivery to one or multiple SFTP accounts/directories

Excluded Transaction Types

Two transaction types are not included in the transactions file:

Frequently Asked Questions

Do Core Exports include manual wallet balance adjustments made via CSR or other admin actions? Yes. Core Exports do not filter by transaction type, so all transactions, including admin adjustments — are included, except for the two excluded types noted above.

Can Core Exports be sent to our own SFTP site? Not directly. Files are delivered to the Paytronix SFTP site. However, we can set up multiple directories and SFTP users so different teams can access their own copy of the files.

Can we choose the column order? Yes. Column ordering is part of the custom column configuration and can be set to your preference.

Can we get sample files with our own data? Not at this time. Sanitized sample files with anonymized data are available, but we are not able to generate samples using your live customer data.

How long does setup take? Once all configuration details (recipients, columns, timing, etc.) are confirmed, setup typically takes 2–3 weeks.


Historical Data

If you need data from before your Core Exports start date, a historical export can be run for a defined date range. Historical files are delivered in the same format as the daily export, to the same SFTP directory.

  • It takes approximately 1.5 calendar weeks per year of data to process

  • Files follow the same 14-day SFTP retention policy and should be retrieved promptly

  • Historical exports require a separate Statement of Work. Contact Paytronix Support for details

Getting Started

Core Exports are available to Paytronix clients in production with a configured SFTP site. To get set up, reach out to Paytronix Support. Setup requires a signed Statement of Work (SOW) with a one-time setup fee.
