Overview
The following content will provide the necessary steps to extract Gift Card Exit Data.
Before You Start
It is imperative that a client run a Guest Analysis Report from the Report Center on the PXS to obtain the database information before the termination date. This report DOES NOT provide registration codes, so if the request for exit data includes registration codes, (eGift), please create a support case for further assistance.
Process
Run a Guest Analysis report as follows:
1. In the PXS Merchant go to Report Center > Guest Analysis.
2. When the report launches, you can select an existing Account Filter from the dropdown or create a new one. Choose “CREATE NEW FILTER”
3. On the next page, you will want to Name the filter, and then select the following two conditions: Program Template and Account Status.
Program Template will allow you to select the necessary card template(s) you need to obtain exit data for.
Account Status is important because this will ensure that all card numbers (even if they are currently inactive), will show on the report. If this condition is not added to the account filter, you will not receive inactive card numbers.
Once completed, your account filter should look like this:
As shown in the above example only exit data for Stored Value/Gift is needed, so that was the only program template selected. Make sure to select the correct program template for your merchant account. In addition, you can see that all statuses in the Account Status condition have been selected. 4. Once the account filter is built, select “Save & Continue”.
5. On the next page, you will set the Demographics and Wallets Outputs for the report. Click the double right arrows to select ALL "Available" column headers and move them to the “Selected” box on the right. Then, select "ADD WALLETS TO OUTPUT".
This will open a list of all available wallets for the merchant. Click the double right arrows to move ALL available wallets from the "Available" box over to the “Selected” box. This will ensure that no wallet balance is forgotten.
Please Note: This wallet balance will display the current balance for each account, at the time the report is run.
Once you are satisfied with the information chosen, add an output type to this report and select “RUN REPORT”.
6. Depending on the size of this file it may take up to several minutes to process the report.
7. Once the report has finished processing you will be able to scroll to the bottom of the page that appears and select “Download Report”.
Please Note: That it is likely the file will have been processed as a CSV even if another file type was selected, due to the amount of data in the reports.
Make sure this report is kept secure in a safe place.
You have now successfully downloaded your exit data!
