What Online Ordering Reports and Dashboards are Available in Online Ordering?

Overview

Within Online Ordering, you’ll find a wealth of helpful repots and dashboards to look at both merchant and store level data.

Where do I go to access reports in Online Ordering

Upon accessing Online Ordering, you should see a drop down in the top navigation called Reports.. If you do not see this, contact your organization's Paytronix Administrator. This drop down contains Merchant Level reports, pulling data from all stores at once.

Please see the table below for a description of each report available in this dropdown.

General Reports

This is a high level collection of data points gathered from all your sites. It includes data on Total Sales, Orders, Average Ticket, Feedback Rating, Coupons Used, Discount Total, Sales for Discontinued Orders, Average Ticket with Coupon, Number of Donations, Total of Donations, Best Sellers, Least Sold Items, and Special Instructions

Coupon Reports

This page links you to details/reporting on any merchant level coupons or store discount usage you may have

Bans

If for any reason you have banned or have had a guest be auto banned, this page will give you info on these guests

Notifications

You can set up emailed reports for Daily Sales totals or Daily Item Sales totals here

Device Status

If you are not using tablets or an integration with the POS Connector, you can disregard this page. This report gives you information on your device status such as last heart beat time, charging, time zone, etc.

Store Closed Times

This page gives you info on any stores with close times that occur during their operating hours, i.e. stores that close for the lunch hour.

Order Flow

This is an incredibly useful report to diagnose any order issues or just see performance of your program as it will show percentage of orders that progress through each stage of the process. You can also export any of the orders by order status, e.g. Submission Failed, Rejected, etc.

Where can I view store level reports?


If you are looking for more detailed, specific reports, scroll down the page to Stores. You'll see a list of stores that you can choose from. Select Dashboard for the store you wish to view in more detail.

Once you’ve navigated to the store, you should see a drop down in the top nav once again titled Reports.

General Reports

This has a different collection of reports than any of the dashboards; Most Recent Data Sync, Orders Over Time, Sales Over Time, Top Items, Top Options, Sales Week Over Week, Submitted Orders, Canceled Orders, Submitted Amount, Canceled But Not Refunded, Average Check, Average Feedback Rating, Tips Total, Tax Total, Orders Per User In Period, Discounts, Discounts Total, Top Discounts, App Breakdown, Order Type Breakdown, Order Funnel, Feedback Ratings, and Sales By Day

General Reports does not have an analogous dashboard in the PXS Report Center, making it unique.

Order Sources

Order Sources aka Customer Journey Dashboard has reports on Orders by App, Order Funnel, Completion Rate Over Time, Order Sources Over Time, Orders By Source, and Customer Journey by Store

This is the Customer Journey Dashboard that can be found under the PXS Report Center’s Analytics dashboards

Feedback

This dashboard collects data in the following reports: Survey Orders, Average Rating, Likelihood to Repeat, Feedback Rating Breakdown, Average Survey Rating, Average Rating Over Time, Customer Comments, and Rating by Store

This is the Feedback Dashboard that can be found under the PXS Report Center’s Analytics dashboards

Discount Report/Dashboard

Any information you may need on discounts can be found here under the following reports: Average Discount, Average Discount on Discount Checks, Rewards, Coupons, Comps, Top 5 Discounts, Percent Discount Orders, Discounts Over Time, Discounts by Store

This is the Discounts Dashboard that can be found under the PXS Report Center’s Analytics dashboards

Guest Insights Report/Dashboard

This dashboard is a deep dive into the average behaviors of your guests with the following reports: Unique Guests Last Month, Guests With Multiple Visits, Guests Returning From Previous Months, Guests By Guest Segment, Orders by Guest Segment, Orders by Guest Segment Over Time, Guest Activity By Store, Top Customers

This is the Customer Insights Dashboard that can be found under the PXS Report Center’s Analytics dashboards

Sales Report/Dashboard

The Sales dashboard gives you just what you might expect! Detailed reports on Total Sales, Average Subtotal, Average Tax, Average Delivery Fee, Average Tip, Average Tip Percent, Refunded Orders, Canceled Orders, Donations, Sales by Payment Type, Tender Total Breakdown, Sales Over Time, Spend by Hour of Week, Sales by Day, and Sales by Store

How do I set parameters/filters for dashboard reports?

While each dashboard has different parameters/filters that can be applied based on the data they are pulling, the way the parameters/filters function are all the same. When you select a parameter, you will get a drop down list of operators, followed by your options to filter.

For example, selecting Restaurant Name gives you operators such as "Is, Starts With, Contains" etc., while a Date filter would give you "Is in the last, Is on the day, Is in range, Is before", etc. Time/Dates also gives you further values such as days/hours/minutes/etc. This helps you dial in the exact parameters you may want to set to pull in your data. Once you have this set, you can then schedule an export with these parameters to be sent on a recurring basis.

NOTE: There are also simple multi select parameters as well as Yes/No. As a note on Yes/No filters, selecting neither will show you data associated with either condition.

How do I export specific reports?

Once you have the dashboard displaying the data and reports you need, you can export all reports in a dashboard by clicking the three dots in the top right and then click Download. You will then be prompted to export as either CSV for spreadsheets, or PDF if you'd like to have the visualizations for reports/presentations. Once your format is selected, click Download.

If you would like to export only a specific report from the dashboard, hovering over the top right corner of the report brings up the three dot menu button. Click on this, then click on Download data. Similar to the whole Dashboard download button, this will prompt you to select an export format, CSV or PDF.

How do I schedule automatic delivery for these reports?


Once your parameters are set, you can schedule automatic delivery for these reports on a recurring basis of your choosing. To do so, head to the three dots at the top right of the Dashboard and click Schedule delivery. You'll see a Settings menu pop up allowing you at name the particular report you are scheduling, set it's recurrence, enter email addresses to send to, and the format you'd like to have the reports in.

You can also set the Filters for the report in this screen, but these should remain as you had previously set them to.

Finally, Advanced options allows you to add a custom message in the body of the email, expand the tables (highly recommended if parameters are set wider, otherwise all of the data may not be included), Arrange dashboard tiles in a single column (this would export all reports from the dashboard onto one sheet), set paper size for printing, and delivery time zone (this should be considered if, for example, Accounting operates in a different time zone than all stores may be operating in). You can test the export to ensure you are getting the correct reports attached and options by clicking Test now and finally click Save to schedule the delivery.

What other reports are available to me?


The Reports dropdown also contains additional data pages and/or reports, for your use. See the table below for a description of each.

Coupons

This page functions the same as the merchant level Coupons page, however it will only display coupon/store discount performance for the store you are currently viewing.

Daily Prep

This page allows you to select a date and view all orders. This is intended to show you advanced orders specifically and could help ensure your stock can support these orders or allow you to deal with shortages or other issues with orders in advance.

Guest Orders

This is a simple, printable report of all guest reports within a selected date range. The data available here is Order Number, Guest Name, Signature, Payment Type, Phone Number, Requested Date/Time, Total, and Feedback Comments

Items List

This printable report gives you information on items sold during a selected date range, including Category, Description, Size, Total Purchased/Price

Kitchen Report

See here for a break down of items on each order and submission time within a date range. Data includes Pickup Date/Time, Category, Description, Qty, and Size

Order Details List

This is an exportable report gathering in depth order information, including Order Number, Order Source, Order Date/Time, Pickup Location, Pickup Date/Time, Payment, Guest Name, Guest Phone, Guest Email, Item, Qty, Size, Price, Total per Item, Subtotal, Tax, and Order Total

Menu and Category Export

This is how you can export your menu data for whatever purposes you may need. This page has a drop down so you can limit the fields exported, being; Category Name, Category Type, Item Name, Item Type, Item Code, Description, Price, Mapping Group, Is Active, Has No Tax, Image URL, and Tags

Note: This report is very useful to update your category manager with reward offerings

Third-Party Delivery Report

This report gives you information on any orders placed for Delivery utilizing either of our Third-Party Delivery integrations (DoorDash Drive or Uber Direct). This includes: Date, Order Number, Customer-Charged Delivery Fee, Restaurant Contribution (if applicable), Tip, Credit, Paid

Third-Party Delivery Charges Report

This report is another place you can get information on your weekly delivery charges (tips+fees initially paid to you, collected by DoorDash or UberEats). It will tell you the Date, Amount, Deliveries Count, and link to Deliveries.

Failed Deliveries

If you have any orders that had a failed delivery, you can find information on them here as well as a direct link to the order. This usually happens when a provider gives us a false positive on our request for eligibility/estimates, which is pretty rare. The data columns are: Order ID, Date, Customer, Email, Phone, Total, Details

Failed Payments

See this report for information on order with a failed payment attempt, including: Order ID, Date, Customer, Email, Phone, Total, and link to Order Details

Failed Submits (Bans)

This report gives you Order ID, Date, Customer, Email, Phone, Total, and link to Order Details for orders that were rejected due to guest being banned or fraud threshold for auto ban being met.

Bans

This page gives you information on Banned guests by phone number, email address, credit card fingerprint, and device fingerprint for both the store and merchant

Note: This is the same information page as the merchant level Bans report

Device Outages

This page gives you details any outages the store may have experienced due to device issues (note this would only include clients using tablets or a POS integration that utilizes our POS Connector software). This will give you the following outage info: Start, End, App Running, App Paused, Device Asleep, Battery Level, User Logout, Heartbeat Errors, and Possible Causes.

Device Logs

This page links you to logs uploaded by devices connected to the store. This might be useful to your IT team or the Paytronix support team if/when you experience an outage.
