Reconciliation Transaction Variance Report

This article discusses the Reconciliation Transaction Variance report- its uses, how to run it and best practices.

If you do not see this report in your Report Center, you do not currently have permission to run it. If you feel that this report could be useful for you, but it doesn’t appear on your list, please contact your user administrator for assistance.

IS THIS REPORT RIGHT FOR ME?

Uses

* Assists the user in the reconciliation process.
* Documents and categorizes any variant transactions created when merchant POS systems and the Paytronix server get out of sync.
* Store Managers may find this report a useful tool in investigating cards with issues.
* When a merchant first deploys, this report can be used to determine if there are any configuration issues in any stores (where all transactions may become variant) or training issues (where a single cashier‘s transactions may be variant).

HOW DO I INTERPRET THIS REPORT?

Interpretation Summary

This report is sorted by status code (all of the “2” will be listed in date order, then the “3”, etc.). For a full explanation of the different codes and how they occur, please visit the Reconciliation and Transaction Variance page. The transactions that appear on this report are transactions where there MAY be an issue that needs resolution. (Emphasis on the MAY.)

The first column shows the type of transaction, sorted by transaction code. Next is the date of the transaction, the store number where the transaction occurred, the check number (from the POS), the Paytronix transaction number (which will not be useful to you, but may be useful to a Paytronix engineer if there are chronic issues that need a resolution/software change), the terminal ID, Cahsier ID, the transaction type, the SV amount (if applicable), card number and the reason (which may or may not be populated depending on what the Paytronix system is able to ascertain at the time when the variance occurs).

It‘s desirable to resolve all transactions on this report either through reversing or accepting the transactions. In order to do this, go to the left nav on the merchant home page, and under the heading “Reconciliation Tools” there is a link called “Variance Reconciliation”. When you click on this link a full listing of all open variances is displayed. If you do not see the links on your left nav, you do not have permission to use this function. Please contact your user administrator to obtain the necessary permissions. Once variances are accepted/reversed, they will not appear on this report again. If you are about to resolve the variances, and want a documented list of all items, run the report and save it prior to actually reconciling.

Column Name

Definition

Status Code

The code assigned to the transaction when the variance is detected.

Transaction Date

The date and time the card was swiped or the transaction took place.

Store Number

The Paytronix number for the store where the transaction occurred.

POS Check No.

The number of the transaction - this corresponds to the check number at the restaurant‘s POS system.

PX Transaction No.

The number of the transaction in the Paytronix database.

Terminal ID

The terminal where the transaction took place - this corresponds to the terminal ID from the restaurant‘s POS system.

Cashier ID

The POS ID of the server who was logged in at the time of card swipe or the time of check close, depending on your POS setup.

Transaction Type

There are several Paytronix terms for different transactions, including Accrual/Redemption and Balance Inquiry. See: Transaction Types

SV Amount

The value, in dollars, of the variance in the Stored Value wallet.

Card Number

The card (or account) number - this is a unique identifier but could appear multiple times for different transactions.

Reason

Sometimes populated with explanations of the cause of the variance.

  1. First enter the date range for which you’d like to run the report.

    • Quick Date: Here you can choose Yesterday, Today, the current month, or last month. If you have set up by your custom fiscal periods, you may also choose to run the report by fiscal period.

    • Manual Date Entry: Here you can type in your desired date range or find the day by clicking on the calendar icon to the right.

  2. Check the “All” box if you would like to include all stores. You can also enter a specific store code to see one store or select a store group from the drop down box.

  3. Click Submit!
