Fraud High Point Accrual Activity Report

This article describes how to run and analyze the Fraud High Point Accrual Activity Report.

Overview

The Fraud High Point Accrual Activity Report identifies transactions outside expected spend and visit behavior. What qualifies by "outside expected spend and visit behavior?" You set those parameters based on norms for your organization. This report helps identify three key behaviors often associated with fraud: cards used too many times within a specific time period, cards used too many times in one day, and cards with abnormally large transactions.

Before You Start

  • Since you'll be setting the parameters to mark a transaction as abnormal, you should be familiar with normal activity for your organization: visit frequency, check size, redemption frequency.

  • Setting parameters may take some trial-and-error fine tuning. If the report returns no data, your parameters are probably not tight enough, if you are seeing a lot of false positives, your parameters are probably too tight

  • You can set up recurring delivery of this report (to you, or to you + a group of colleagues); email [email protected] for assistance to set up a delivery schedule.

Report limitations:

  • You'll need permission to run the Fraud High Point Accrual Activity Report. If you do not see this report in Report Center, you do not currently have permission to run it. If you feel that you need access to this report, contact the Paytronix administrator at your organization.

  • We can't guarantee that this report will identify every single fraudulent transaction.

  • You can run the report for all stores as far back as 1 year; you can run the report for an unlimited time period by limiting your search to one store.

  • By design, this report is available in Summary format only.

  • As this report may be used in auditing or fraud detection, we recommend limiting access it to employees with those responsibilities as part of their role.

Example cases for this report include:

  • If you suspect an employee is using a card to accrue points from guest transactions where a guest has not presented a card (fraudulent points capture)

  • If you suspect guests are sharing one card/account, especially in programs with tiered benefits, or premium rewards for high spend

Running the Report

Set parameters for the report

  1. Date Range:
    First enter a date range for the report.
    Quick Date: Choose from pre-set time periods (e.g. Today, Yesterday, Current calendar month)
    Manual Date Entry: select a custom time period.

  2. Store:
    Enter a specific store code, select a store group from the drop-down list, or tick the All box to see data for all stores.

  3. Card Template:
    Select a Card Template from the drop-down list. To see activity for all Card Templates, select All from the drop-down menu. For more on Card Templates, see: What are Card Templates and Tiers?

  4. Wallet:
    Select a Wallet from the drop-down list based on the activity you want to investigate. For more on Wallets, see: What are Rules and Wallets?

  5. Transactions/Day:
    How many is too many transactions in one day? Enter the number of transactions per day. The report will show all activity with the number of transactions per day that you set. You must set a minimum of 2.

  6. Transactions/Period:
    How many is too many transactions within the report's time period? Enter the number of transactions within the entire time period that you set above. The report will show all activity with the number of transactions within the set time period that you set. You must set a minimum of 2.

  7. Transactional Threshold:
    How high is too high for a normal check? Enter a dollar amount that would indicate abnormally high spend/check. The report will show all transactions that meet or exceed that amount of spend.

  8. Only registered guests:
    Tick this box if you want to limit the report to only activity from registered guests.

    After you make all your selections, click the SUBMIT button.

Notes:

  • "Top Cashier" appears multiple times on this report. For the purposes of this report, Top Cashier is the cashier/server who completed the flagged transaction. If you use common or shared POS logins, Top Cashier will likely represent a group of employees. This can make it difficult to see if a significant portion of suspicious activity is associated with one particular employee.

  • By default this report is sorted by Total Points Accrued, from highest to lowest; this puts the most suspicious cards at the top of the report.

  • If you want to further investigate specific cards by checking the full transaction history, you can use the General Card Activity Detail Report.

  • Registered cards are not immune from fraud; in fact many bad actors will register a card (often with false data), to make the card appear more legitimate. Any card with abnormal activity is worth a second look.

Column Name

Definition

Card Number

The card (or account) number - this is a unique identifier but will appear multiple times if used in different transactions.

Tier

The Paytronix subsection of the card template.

Total Points Accrued

Displays the total number of points accrued over the time period specified when running the report

Max Accruals in a Day

Displays the maximum number of accruals for a particular day in the given time period

Total Accrual Txns

Shows the total number of times the card was used for point accruals over the given time period

# Multi-Accrual Days

Shows the number of days in which the card was used multiple times. The definition of multiple was specified in a field when the report was run.

# Accruals Over Threshold

Shows the number of times the card accrued more points than a certain threshold amount that was specified when the report was run.

Max Accrual

Displays the highest number of points accrued in a single transaction for the given time period

# Accruals with Top Cashier

Shows how many point accruals were done by the cashier that used the card the most (in other words the “Top Cashier”)

% Top Cashier

Shows the overall percent of time the card was used by the “Top Cashier” (i.e., 100% means all of the accrual transactions were done by the “Top Cashier”)

Top Cashier ID

Specifies the Cashier ID for the “Top Cashier”

Cashier Store Code

Specifies the store code associated with the “Top Cashier”

Cashier Store Name

Specifies the store name associated with the “Top Cashier”

Card Status

Status of the card. This can be active, suspended or terminated

Is Registered

Will show whether the card is registered or not

First Name

Guest‘s first name (shows if the card is registered)

Last Name

Guest‘s last name (shows if the card is registered)

Email

The email address of the guest to whom the card is registered
