HOW DO I INTERPRET THIS REPORT?

Interpretation Summary

This report shows each individual activation of a loyalty or comp card. It is sorted by store and displays both store code and store name, followed by tier. The next column shows the enrollment (activation) date and time (relative to the Paytronix Server date/time) which correspond to either the time the check was closed or the time the card was swiped, depending on your program‘s setup. This is followed by the card number.

The next two columns show whether the card has data or is registered. A card is considered to “have data” when it has the cardholder‘s demographic data, but they have not yet been registered in the Paytronix system. This column will be populated most often when you have transferred your loyalty program to Paytronix from another provider. A card is not considered to be registered until the guest logs in to the Paytronix site and provides a username and password.

Following columns show data gathered from the restaurant‘s POS system, including check number, terminal ID and cashier (or server) ID. We then see the account‘s status and any applicable expiration date. The expiration date is not usually populated for loyalty and comp cards, as loyalty and comp cards do not expire unless they are combined gift/loyalty cards that are configured to expire after a certain amount of time relative to the activation date.

Definition

Store Number

The Paytronix number for the store where the transaction took place

Store Name

The Paytronix name for the store where the transaction took place

Tier

The Paytronix subsection of the card template (for a further discussion of card templates and tiers, see What are Card Templates and Tiers?.

Enrollment Date

Date the card was activated

Card Number

The card (or account) number - this is a unique identifier but could appear multiple times for different transactions.

Has Data

Shows “yes” if the card has demographic information linked to it but has not yet been registered

Registered

Shows “yes” if the card has been registered

Check No.

The number of the transaction - this corresponds to the check number at the restaurant‘s POS system

Terminal ID

The terminal where the transaction took place - this corresponds to the terminal ID from the restaurant‘s POS system

Cashier ID

The cashier who was logged into the terminal when the transaction took place.

Account Status

Status of the account linked to the card. For more on Account Status see Account Status.

Expiration Date

The date the card is set to expire. This will only be seen if the card is a combined gift/loyalty card with an expiration rule configured.

I LIKE IT, SO HOW DO I RUN THIS REPORT?

  1. First enter the date range for which you’d like to run the report.

    • Quick Date: Here you can choose Yesterday, Today, the current month, or last month. If you have set up by your custom fiscal periods, you may also choose to run the report by fiscal period.

    • Manual Date Entry: Here you can type in your desired date range or find the day by clicking on the calendar icon to the right.

  2. Check the “All” box if you would like to include all stores. You can also enter a specific store code to see one store or select a store group from the drop down box.

  3. Click Submit!
