Overview
The Adjust Wallet tools allows you to make adjustments to wallets found on a guest's account. If a guest is missing a reward or needs points added for a missed transaction, the CSR Adjust Wallet Tool is the proper tool to use.
Before You Start
Before you get started, here are a couple important terms to know:
Wallet - It's helpful to think of a wallet as a bucket that holds value or tracks information.
Rules - Rules determine what happens behind the scenes of each guest's transaction & ensure your program runs as intended.
Rules Engine - The Rules Engine ensures rules run in the correct sequence, apply to the correct tiers and/or wallets.
Activity Types:
Add: This will add value to the selected wallet and will display as an 'Accrual' in reports.
Redeem: This will remove value from a wallet and count as a 'Redemption' in reports.
Void Add: This will revert a previous addition of value. For example, if a guest was improperly given a reward a void add will remove the reward without it counting towards the overall redemptions.
Void Redeem: This will revert a redemption of value.
Ensure you have the proper permissions to perform wallet adjustments on an account. If you need permission, contact your User Admin to get the proper permissions added to your account. Please contact Paytronix Support at [email protected] if you have additional questions about wallet adjustments.
Adjust Wallet Tool
An Account wallet adjustment is used when you need to adjust the wallet of a guest who improperly received value in a wallet when they should or should not have. This action is performed to correct issues, emulate transactions, or test promotions.
Before adjusting the wallet on a guest's account, ensure you have the correct details. You'll need to know the following:
Begin by logging into the Paytronix Merchant Portal and using the Account Lookup tool. Search for the account using the information you have about the account (Card Number, Username, Email Address, etc.)
Select the 'Adjust Wallet' option found by scrolling down the page or in the Account Services tab in the left hand navigation.
There are two options when adjusting an account's wallet as outlined below
Adjust a Single Wallet
This option is typically used when a change needs to be made to only a single wallet. For example, adding a reward to a guests account. You can also use this option if you want to make a change that you do not want to affect other wallets.
First, select the wallet you would like to make the adjustment to. Choose the 'Next' option to move forward to the next step.
Input the store the adjustment should be attributed to, the check number if applicable, the activity type, amount to be adjusted, and leave a comment if you would like explaining the adjustment. By checking the 'Show on Guest Transaction History' checkbox, the comment will be visible on the account's transaction history. Choose the 'Next' option to proceed to the next step
The final step is to confirm the wallet adjustment. You will see two options for adjusting the wallet
The final step is to preview the adjustment prior to confirming any wallet adjustments.
Points/Visit Accrual
This option is typically used when you need to emulate a transaction. For example, adding a missed visit or points for a guest.
The first step is to select the 'Points/Visit Accrual' Adjustment Type
Input the original transaction date, check number if applicable, and the store the transaction should be applicable to. You will also need to input any adder wallets that should be added to such as Dollars Spent, Visits, Coffees Bought, etc. Adder wallets are used to track dollars spent in a transaction, visits that were accrued or to track other items that were purchased during the original transactions. The Adder wallet(s) you add to will depend on how your program runs and which wallets are a part of your program. If you are unsure of which Adder wallets should be added to, please consult with your Paytronix contact.
The final step is to confirm the wallet adjustment. For this flow, the only option is to adjust all wallets using the Rules Engine. When adjusting all wallets, the Rules Engine will run which emulates an in store transaction. This means your adjustment will likely affect multiple wallets. You can confirm which wallets will be affected by reviewing the Adjustment Preview.
From this preview, you can choose 'Adjust All Wallets' to confirm your adjustments.
