Before you begin
You must have User Admin permissions on your Paytronix merchant account before setting up Access Evo users or permissions. To check or request access, contact an existing User Admin in your organization.
You can create a new user in either PXS or Access Evo. If the email address is new to both systems, the user is created and automatically linked in the other system.
We recommend creating new users in PXS. PXS has a more extensive set of permissions, so creating a user there lets you assign all required roles in a single step. If you create the user in Access Evo first, you will likely need to go into PXS afterwards to assign additional permissions.
⚠️ Important: You can only assign permissions that are already on your own account. Contact Paytronix Support or your Technical Success Manager if you need permissions that aren't available to you.
Manage members and permissions in Access Evo
You can manage members from the People area, where you can search for members, view their details, and access management options. Administrators can add, import, and export members, and apply bulk actions such as assigning roles, features, and tags across multiple members at once.
⚠️ Important: Some actions, including updating a member's profile and deactivating a member, require Administrator permissions.
View and manage members
Click the people icon to open the View and manage Members panel.
Enter a name or email address in the search bar to find a member.
Click the three-dot menu on the member's profile to access management options.
The Manage User menu provides the following options:
View and configure
View Member — displays the member's email address, assigned organization role, and the products and features available to them.
Manage Tags — assign department, job title, and office tags to the member.
Manage Roles — configure permissions at the organization and product level (see details below).
Manage Features — configure access to enabled features.
Update profile
Change Email Address — update the member's email address.
Change Name — update the member's display name.
Account management
Deactivate — removes the member's access. Requires Administrator permissions.
Manage Roles
Manage Roles lets you configure permissions at two levels:
Organization role
Administrator — can manage other users.
User — cannot manage other users.
Product permissions
Each assigned product can have individual permissions set to:
Administrator
User
No Access
Manage Features
Manage Features lets you configure access to enabled features.
Available permissions:
User — grants access to the feature.
No Access — denies access to the feature.
Add Members
Import, Export, and Manage Settings
Click the Gear ⚙️ icon to access the following options:
Import Members — follow the step-by-step guide to import members in bulk.
Export Members — exports only the members that match your current filter conditions.
Tags — manage the tag categories available for your organization. (When selected this opens a new tab to manage Tags)
Add Tag — Create a new tag.
Groups — manage member groups.
Add Group — Create a Group.
Search and Filter Members
Use the Filter option to narrow your member list by specific conditions.
Select Add All to Selection to select all members from your filtered results. Once selected, use the Add Actions menu in the lower right corner to apply bulk adjustments.
To refresh your member list, click Refresh Members.
Bulk actions
Use the Add Actions menu to apply the following actions across multiple selected members at once:
Action | Description |
Activate members | Restores access for previously deactivated members, allowing them to log in and use their assigned products and features. |
Deactivate members | Removes access for selected members, preventing them from logging in. |
Assign product role | Sets permission levels (Administrator, User, or No Access) across one or more products. |
Assign organization role | Designates members as Administrator (with user admin permissions) or User (without admin permissions). |
Assign features | Grants or restricts access to specific features within products. |
Send/Resend sign-up email | Sends or resends an invitation email containing a link to complete account setup. |
Assign tags | Applies organizational metadata such as Department, Job Title, or Office. |
Enable or Disable Two-Factor Authentication (2FA)
⚠️ Important: You must be an Evo administrative user to perform the actions below.
To enable or disable two-factor authentication, follow the steps below:
Within Access Evo, click your name in the top right corner.
Click My account.
Click Two-factor authentication.
Click Enable two-factor authentication or Disable two-factor authentication.
📌 Note: This only adjusts the two-factor authentication for your user account.
Troubleshooting
Access Evo button not visible
Ensure you're logged in via Access Identity.
Check that your organization has Evo enabled.
Verify your administrator has granted you permission to view the Evo button.
Try refreshing the browser page.
Features not visible
Confirm your role permissions with your administrator.
Check that features such as Copilot, Analytics, or Feed have been enabled for your user.
Organization not visible in the dropdown
Verify your administrator has granted you access to the missing organization.
Check that you're using the correct Access Identity credentials.
Password reset email not received
Check your spam and junk folders.
Confirm your IT department hasn't blocked emails from [email protected]
Check that no inbox rule is moving emails from [email protected]
Try resetting again and confirm the email address is correct.
Still cannot access after reset
Clear your browser cache and cookies.
Try logging in from a different browser or device.
Verify you're using the correct email address or username.
Check that Caps Lock is not enabled.
