How Do I Set Up a New Store in Paytronix?

I would like to add a new loyalty, gift or comp store into the Paytronix list of available stores. What information do I need in order to add a new store? What steps must I follow?

Overview

If you need to add a new store into the Paytronix list of available store, please follow the steps outlined below.


Before you begin

Setting up a new store in the Paytronix system is self-service. For self-service store creation or updates at your convenience, you will need to have the following permissions on your account. If you do not have these permissions, please reach out to a user administrator at your organization for assistance.

  • Merchant default

  • Store administration

  • Store connectivity status

  • Store lookup

  • Merchant setup software configuration โ€“ read + write

  • Merchant setup credential โ€“ read + write + download

  • Merchant setup security agent โ€“ read + write

  • Merchant setup store โ€“ read + write

  • Merchant setup store group โ€“ read + write (if applicable)

โš ๏ธ Important: If setting up a new store owned by a franchisee, please ensure the relevant franchisee contact completes the Franchisee Service Agreement and ACH Form.

โš ๏ธ Important: โ€‹If setting up a new store owned by corporate, please email [email protected] to confirm account setup with the store code and live date.


Add a new store

1. To start, navigate to the PXS Merchant>Store Administration>Stores>New Store

โ€‹2. Enter the name and store code. This code needs to be unique. โ€‹

3. Find your POS on the table below and follow the steps outlined in the โ€˜Next Actionโ€™ column.

  • Enter the Toast Store GUID in the External Store Number Field and the store information in the respective fields.

Square (Loyalty)

  • Create the store in Paytronix Portal as outlined above in steps 1 and 2. Set the POS System type to โ€˜Otherโ€™.

  • Contact support with your request and include the Paytronix Store Code, Paytronix Merchant ID, and the Square Location ID (can be found by asking your Square Account Rep or Paytronix).

  • Paytronix Support will enable the POS integration on the back end

  • Once completed, you can have all devices at the location manually enable the add-on

Square (Gift)

  • Create the store in Paytronix Portal as outlined above in steps 1 and 2.

  • Once the PX Store is in the store list, you can add Square Location ID to the External Store Number in POS (the Square Location ID can be found by asking your Square Account Rep or Paytronix)

4. Enter the store-specific information.

5. For the POS Mapping Group and POS System Type should be specified depending on your setup. You may have more than one mapping group and the store should be put into whichever is needed.

๐Ÿ“Œ Note: Hours should be entered as HH:MMAM-HH:MMPM, separating each day with a comma, and starting the week on Monday. For example, a store operating 9a-8p Monday and 9a-10p Tuesday would be listed as 9:00AM-8:00PM,9:00AM-10:00PM etc. โ€‹

6. Enter the latitude/longitude if using the Paytronix-branded app. The coordinates may have up to 6 decimal places of accuracy.

You should see a confirmation screen with all the store's info when you have finished.

๐Ÿ“Œ Important: If your new store has a POS system that uses the PXC, you must complete the Additional setup for stores with a POS using a PXC section as well.

๐Ÿ“Œ Important: If your new store will also use Paytronix Online Ordering, you must complete the Add a new store to Paytronix Online Ordering section as well.


Additional setup for stores with a POS using a PXC

After creating the new store, if the store has a POS system that uses a PXC, you must set up additional items before the PXC can be installed at the store. The necessary items are the store software configurations, security agent, and credential.

Create store Software Configurations

The necessary configuration file sets for the store POS system should already be defined. To create the PXC software configuration for the new store:

  1. Click Store Administration in the left navigation menu and then click Software Configs

  2. Click New Software Configuration

  3. Define the following in the New Software Configuration dialog:

    1. Select the newly-created store from the Store drop-down list

    2. Enter a descriptive label in the Label field

    3. Select the Paytronix Controller on Windows from the Platform drop-down list

    4. Select the appropriate PXC file set from the Configuration File Set drop-down list

  4. Click Submit

Repeat these steps to create the POS software configuration if the store's POS system also requires a POS-specific software configuration.

Below are examples โ€‹of software configuration definitions for a store with Aloha POS.

Create store Security Agent

From there you will need to create the security agent. This should reference the PXC software configuration you just created. You will not be able to create the security agent until the PXC software configuration is in place. If you select the POS software configuration, you will receive an error and not be able to proceed.

Create credential

โ€‹You will then create the credential. The credential will reference the security agent just made, and is the MAC address of the external NIC. You will find this through a command run on your BOH terminal where you are installing the Controller (Start menu>type โ€œcmdโ€ to launch Command Prompt>type โ€œipconfig/allโ€>Find the physical address (a series of 6 pairs). This is the MAC Address.

Insert this MAC address under the Label and Hardware ID sections of PXS > Credentials.

Add a new store to Paytronix Online Ordering

If you use Paytronix Online Ordering, adding the new store to your Online Ordering setup requires assistance from Paytronix Support. Customers cannot add new stores themselves through the portal. Below is an overview of the process:

  1. Contact Paytronix Support: Reach out to the Paytronix Support team to request the addition of a new store to your Online Ordering platform. Provide all necessary details about the new store, such as its name, store code, address, and any specific configurations required.

  2. Provide Required Information: Be prepared to share details about the store's operations, including whether it will offer delivery, takeout, or other fulfillment options. This will help the support team configure the store appropriately.

  3. Wait for Confirmation: Once the support team has added the store, they will confirm the setup and provide any additional instructions for managing the new location.

  • If you plan to enable specific fulfillment types like delivery or takeout, mention this during your initial request to avoid delays.

  • For further assistance or questions about the process, consult the Paytronix documentation or contact their support team directly.
